Terms of Service

The rules of the site.

These terms set out how you may use Safety Buddy, and what you can expect from us. By using the platform, you agree to them.

Acceptance of terms

By creating a workspace, signing in, or otherwise using Safety Buddy, you agree to these terms on behalf of yourself and the organisation you represent. If you do not agree, do not use the platform.

The service

Safety Buddy is a digital safety-management platform for construction and project sites. It helps you register projects, contractors, workers and machinery, issue Safety Passports, conduct inspections, score and rank safety performance, and produce reports. We may add, change or remove features to improve the service.

Accounts & workspaces

Each organisation operates in its own tenant-scoped workspace. You are responsible for the accuracy of your account details, for the actions of the Managers, Supervisors and Inspectors you appoint, and for keeping login credentials confidential. Notify us promptly of any unauthorised use.

Acceptable use

You agree not to misuse the platform: no unlawful activity, no attempts to access another workspace’s data, no uploading of malware, and no interference with the platform’s security or availability. Access follows a “no registration, no entry” principle — only registered, compliant records should be used to grant site access.

Your data & responsibilities

You retain ownership of the data you enter. You are the controller of the worker and contractor personal data in your workspace and are responsible for having a lawful basis to collect and use it, for the accuracy of safety records, and for how site-access decisions are made from them. We handle that data as described in our Privacy Policy.

Safety disclaimer

Safety Buddy is a management and record-keeping tool. It supports, but does not replace, your legal duties, professional judgement, competent persons, statutory inspections, or on-site controls. You remain solely responsible for actual site safety and for compliance with all applicable laws, standards and regulations. Scores, rankings and passports are indicators, not guarantees of safety.

Availability & support

We work to keep the platform available and secure, but we do not guarantee uninterrupted access. We may perform maintenance, and we may suspend access where necessary to protect the platform or its users.

Fees

Paid plans, where applicable, are billed according to the plan you select. Fees are described at sign-up or in your workspace’s billing settings. Non-payment may result in suspension or downgrade of your workspace.

Intellectual property

The platform, its design, and its underlying software are owned by us and our licensors. These terms grant you a limited, non-exclusive, non-transferable right to use the platform. Your logo and content remain yours.

Limitation of liability

To the fullest extent permitted by law, Safety Buddy is provided “as is”. We are not liable for indirect or consequential loss, or for incidents, injuries, penalties or losses arising from site conditions, decisions made using the platform, or your failure to meet your own safety and legal obligations.

Termination

You may stop using the platform at any time. We may suspend or terminate access for breach of these terms or misuse. On termination, your data is handled as described in the Privacy Policy.

Governing law & changes

These terms are governed by the laws of Malaysia unless your agreement states otherwise. We may update these terms as the platform evolves; the “last updated” date reflects the current version, and continued use means you accept the changes.
